ESSENTIAL FUNCTIONS:
- Coordinate adult public programs and provide program support to manager of adult public programs including event scheduling and coordination. Prepare statistics on attendance, revenue, and expense for divisional records and reports.
- Oversee art council program activities under the direction of the Manager of Adult Public Programs. Work closely with the councils’ executive committees, events and membership.
- Perform general administrative duties for the Education Division’s daily OSP activities, and the Manager of Public Programs for the Councils and adult public programs: answer telephones; respond to e-mails; provide information to the public, members, volunteers, and staff. Maintain office procedures: filing, supplies, mail, and drafting correspondence, meeting minutes, memos, and agendas
- Oversee all aspects of the OSP Ambassador volunteer program. Communicate on an ongoing basis with OSP Ambassador Chair to address volunteer scheduling and Neukom Vivarium oversight. Plan and implement monthly Continuing Education sessions for OSP volunteers.Â
- Perform/ensure proper coding of all invoices, monitor expenses and revenues, and check monthly balance statements.
- Process Councils membership renewals and new memberships. Update membership reports and ensure accurate database.
- Collaborate with marketing department on program promotion. Write program guide copy, maintain events database systems, and assist in editing and proofreading. Coordinate mailings and email marketing system.
- Coordinate programming with the OSP Operations Manager.
- Represent Education Division at meetings and programs; present information on the Museum’s programs.
- Establish and maintain regular flow of information within the education (from the OSP) and public programs department and with other areas through meetings and email correspondence. Serve as a liaison between other departments within the Museum and education regarding matters related to programs and council activity.

QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Two years administrative experience in an office environment. Programming experience in an arts organization or related cultural organization preferred.
- Excellent written and oral communication skills.
- Knowledge of volunteer management; program development and administration; budget development and management; and membership recruitment, maintenance, and benefit programs.
- Demonstrated proficiency with and accuracy in using MS Office products, including Word, Excel, Outlook, Powerpoint and Access and other related software applications.
- Bachelor’s degree in Art History or cultural studies, or the equivalent combination of education/experience. Master’s degree preferred.
- Passion for the dual mission of achieving artistic and educational excellence and broad audience participation.
- Working knowledge of new technologies and ideas in cultural programming and museum practice.
- Demonstrated ability to work well with artists. Ability to work independently and as part of a team; ability to motivate self.
- Ability to assess priorities, manage multiple projects simultaneously, and work well under pressure; excellent time management, problem solving and analytic skills.
- Ability to work accurately with close attention to detail and maintain confidentiality of sensitive information.
