JSP is hiring for an administrative coordinator to provide office, development, finance, program, and studio support. We seek a friendly, creative, and detail-oriented person who is able to multitask and problem-solve with a minimal amount of direction, but who also works well as part of a team. He/she must be comfortable with technology and familiar with office systems.Â
As the first point of contact with the public (callers and visitors), the administrative coordinator plays an important role in communicating JSP's mission and in providing public information.
Requirements
- Minimum of 2 years experience in an office setting - Non-profit arts background preferred.
- Proficiency using Windows and MS Office Suite - Word, Excel, Outlook, Access
- Experience with graphics and web software desirable
- Experience with PC computer networks required
- Excellent written and verbal communication
- Ability to work collaboratively
- Ability to prioritize multiple tasks and meet deadlines
- Customer service experience a plus
Principal Duties
- Work with Director and staff to maintain office and program administration
- Answer phone calls and route to appropriate staff
- Schedule studio bookings
- Greet gallery visitors and/or direct clients to scheduled appointments
- Process incoming invoices and payments; prepare deposits
- Maintain outreach and donor database; prepare mailings
- Assist with grant preparation and other development
- Manage Enews and other electronic mailings
- Assist with website updates and promotional mailings
- Maintain office equipment and computer network
- Assist with public events (some evenings and weekends may be required)
- Other tasks as assigned
